How can I select more than one value for a filter?

Hold down the Ctrl key while selecting filter values with the mouse. All values that are selected while the Ctrl key is pressed will be added to the filter. When you have finished selecting values for the filter, release the Ctrl key.

How can I save a report, or save my criteria for future use?

Select the desired values for report content and filters, then click Refresh Report. You can then create a permanent link to the selected criteria by creating a Bookmark in Firefox (select Bookmarks>Bookmark This Page) or Favorite in Internet Explorer (select Favorites>Add to Favorites).

Note: This method saves the criteria, but does not save the actual report. It is possible – though exceedingly unusual – for values to change in a subsequent rendering. To create a permanent record of a report, export the report to an external spreadsheet.

How can I increase the amount of data that I can view on my screen?

  1. To adjust the width of the Main Menu or the Title bar: Position the mouse over the vertical border between the report and the Main Menu, and/or the horizontal border between the report and the Title bar. The mouse will change from an arrow to a double-headed arrow, and the tool tip will display Resize This Pane. Click on the border and drag until the desired size is achieved.
  2. To quickly hide the Main Menu or Title bar: Position the mouse over the dark gray stripe in the middle of the border. The mouse will change from an arrow to a hand, and the tool tip will display Close. Click the border once to minimize the pane. To view a minimized pane, reverse the process by positioning the mouse over the darker stripe in the middle of the border (mouse will change to a hand and tool tip will display Open) and clicking once.

How can I export the data to Microsoft Excel?

Click the Show All Properties button on the Main Menu or at the top of the Create Report tab. Under Application Settings: General, change the Report Output Mode to External Spreadsheet. After clicking Refresh Report, the words [Click here for spreadsheet output] will be highlighted in yellow at the top of the Report Output tab. Click the link once to open or save the exported report data.

Notes:

  1. Each time period will display in a separate worksheet in Excel. For example, if a Comparison Report (year-by-year) was run for FY2005, FY2006 and FY2007, each fiscal year will appear in a separate worksheet in Excel with an appropriately labeled tab.
  2. The file presents with an xls extension; however, the actual format is read-only XML Spreadsheet 2003. When opening the file, you may be asked to confirm the file extension. When saving the file, you will be prompted to select an appropriate name and location for the document. You should also change the file type to Excel Workbook (xls or xlsx file extension) by changing the selection under Save as Type.
  3. Selecting a Report Output Mode of External Spreadsheet increases the amount of time required to produce a report. Therefore it is preferable to keep the default setting of Standard HTML unless spreadsheet output is required.

How does a fiscal year compare to an academic year?

The fiscal year begins on July 1st, therefore the fiscal year begins with summer term and concludes with spring term. A fiscal year is typically referenced by the year that concludes the period. For example, FY2009 refers to the period beginning summer term 2008 and concluding in spring term 2009. The academic year at the University of Oregon begins with fall term and concludes with summer term, and is typically referred to by both years. For example, the academic year 2008-09 began fall term 2008 and concluded summer term 2009. The fiscal year includes summer term from the preceding academic year. Therefore FY2009 includes summer term from the 2007-08 academic year.

How can I get data for an academic year?

Obtaining academic year data requires manual manipulation of exported term-level data. The following example is for the academic year 2007-08

  1. Select Report Type = Comparison Report (term-by-term).
  2. Make all appropriate selections for Credit Hour Type, Department Detail, Report Content, and Filter School College.
  3. Choose Filter Fiscal Year = 2008. Hold down Ctrl and choose Filter Term = Fall, Winter and Spring.
  4. Ensure that the Report Output Mode is External Spreadsheet.
  5. Click Refresh Report
  6. Click on [Click here for spreadsheet output] to export and save the data for fall 2007, winter 2008 and spring 2008.
  7. Return to step 3. above to choose Filter Fiscal Year = 2009 and Filter Term = Summer. Repeat steps 5. and 6. to export and save the data for summer 2008.

Once you select Refresh Report, the selected time periods will appear as buttons near the top of the Report Output tab. Clicking a button will limit the view to that time period. To see all time periods, click the […] button.

Can you provide an example of a credit hour calculation?

21 students are enrolled in a 500-level course that will earn them 4 credits. The class includes 1 junior, 5 seniors, and 15 master’s students.

One senior drops the class in the fourth week. Because the census is done after the fourth week, this student is not included in any calculations.

For student credit hours, 20 credit hours (4 hours * 5 students) are reported as Upper Division, and 60 credit hours (4 hours * 15 students) are reported as Master’s.

Course credit hours are based on the course number; therefore 80 credit hours (4 hours * 20 students) are reported as Graduate level.

FTE are calculated from student credit hours: 20 ÷ 45 = 0.44 Upper Division FTE and 60 ÷ 36 = 1.67 Master’s FTE.

The categories above represent the student/course level detail; however, these figures could also be aggregated and reported as UG/GR.

Regardless of the type of calculation – student credit hour, course credit hour, or FTE, detailed level or UG/GR – the same academic unit accrues the credit hour or FTE. This is the academic unit that is responsible for the course.
